Overview

The individual in this position is responsible for coordinating event services operations for the Touro University Nevada campus for events requested by university stakeholders.  This position supports the planning and execution of campus events, ensures that the TUN Events Manual and established campus policies and procedures are followed, and collaborates with university stakeholders to maintain high-quality even experiences.  This position does not manage non-university off-campus events.

Responsibilities

Major Accountabilities:

  • Coordinates event scheduling in designated campus event venues.
  • Supports event planning and execution by coordinating event logistics from set-up through close-out for campus-based events.
  • Collaborates regularly with the Director of Student Involvement, Office of Development and Alumni Operations, Deans, and Provost Offices, and other internal stakeholders.
  • Meets with even hosts to develop customized room diagrams that support event flow and specific program needs.
  • Builds and maintains positive working relationships with internal university stakeholders and approved external vendors.
  • Works collaboratively with the Event Services Set-Up Technician to ensure accurate and timely event set-ups according to established standards and campus stakeholder requests.
  • Provides event-related information for weekly staffing needs (when applicable) and assists with monitoring temporary labor usage when relevant.
  • Assists campus stakeholders with event coordination and provides recommendations on campus venues and approved vendors as needed.
  • Assists with coordinating entertainment or speakers for events when requested.
  • Ensures all food served at events adheres to the Touro University Kosher Food Policy.
  • Supports event registration/check-in logistics when required.
  • Coordinates with temporary support staff, student workers, or volunteers assigned to events on an as-needed basis (no supervisory authority).
  • Ensures events are within the department’s allocated budget.
  • Monitors and inventories supplies (décor, linen, paper goods, equipment, etc.) for routine reporting.
  • Provides on-site event presence and assists with problem solving during events as needed.
  • Contributes creative ideas for décor, layouts, and thematic elements for campus events.
  • Assists with event communications, marketing, and advertising through digital and other media platforms when required by the client.

Supervisory Responsibilities:

  • This position has no direct reports.
  • May provide task guidance to temporary support staff, student assistants, and volunteers during events, but does not hire, supervise, or approve time sheets.

Qualifications

Education:

  • BS or BA degree required (Degree in Event Management, Hospitality, Food & beverage, or Business Administration Preferred).

Experience:

  • 1-3 years of event coordinator or similar experience.
  • Experience supporting event planning or logistics in a higher-education or conference environment preferred.
  • Certifications such as CSEP (Certified Special Events Professional), CMP (Certified Meeting Professional), CMM (Certified Meeting Manager), or similar designations are desirable but not required.

  • Excellent attention to detail, with the ability to execute established processes and notice important event elements.
  • Strong coordination skills and ability to work collaboratively with divers campus partners.
  • Effective problem-solving skills with the ability to remain composed in dynamic situations.
  • Strong interpersonal skills to build and maintain relationships with campus stakeholders, staff, and vendors.
  • Ability to coordinate multiple events simultaneously while following established event procedures.
  • Ability to create and follow event plans, timelines, and day-of logistics.
  • Basic understanding of event budgets and cost considerations.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Excellent customer services skills with diplomacy, tact, and a solutions-oriented mindset.
  • Ability to gather and apply event host/event stakeholder feedback to improve event experiences.
  • Ability to coordinate with vendors and maintain positive working relationships.
