Overview

Touro University Nevada (Touro) is seeking an Event Services Manager who can successfully work with a wide range of people, can be flexible, very well organized, and an exceptional communicator. Touro realizes its vision daily to educate the next generation of physicians and health care providers to serve, to lead, and to teach.  The individual in this position is responsible for managing the event services operations for the Touro University Nevada campus for events both by university clients and non-university clients. This position will serve as lead for all complex, large-scale events including responsibility for financial event management.

Responsibilities

General Responsibilities:

  • Schedules events in designated event venues, client menu selection, costing out menu selections with caterers for clients, coordination of university staff and equipment rental, management of event teams and/or production consultants to produce high-quality, multi-faceted events
  • Coordinates event planning and execution with requesting parties managing a variety of special events, from set up to clean up, for both on and off campus venues
  • Collaborates regularly with the Director of Student Involvement, Director of Advancement Operations, Deans and Provost Offices.
  • Establish and maintain relationships with internal and external University partners
  • Completes a weekly event staffing schedule to ensure adequate coverage to meet special event needs as well monitoring labor costs (employee time and temporary staff time)
  • Assists clients with event management and recommends venues and vendors to clients (as needed)
  • Oversees event registration logistics and strategies
  • Ensures proper set up of events per the client’s request while maintaining an effective, efficient, and economical operation
  • Regularly inventories supplies (décor, alcohol, linen, paper, equipment, etc.) for monthly reports
  • Provides managerial presence and oversees activities (as needed)
  • Devises recommendations for decorative schemes for presentations and events
  • Manages event communications, marketing and advertising through digital media and other mediums to encourage attendance and promote event (as needed)

Supervisory responsibilities:

  • Hires and oversees temporary and contingent support staff, students, and volunteers
  • Approves timesheets for all contingent event staff

Qualifications

Education:

  • BA or BS degree required (Bachelor’s Degree in Event Management, Hospitality, Food & Beverage, or Business Administration)

Experience:

  • 3+ years of event management or other relevant experience
  • Proven work experience in an event management role
  • Management experience working in a University Conference Center and University Student Union (optional)
  • Certifications such as CSEP: Certified special events professional, CMP: Certified meeting professional, CMM: Certificate in meeting management, or similar designations preferred
  • Communication skills: Excellent listening, speaking, and writing skills to communicate with vendors, event attendees, and staff.
  • Attention to detail: The ability to notice the most minute details of an event, from the typeface on the programs to the ingredients prepared by the caterer to be served at the reception, is essential.
  • Coordination: Must be able to work alongside other people and adjust actions as appropriate.
  • Problem-solving: Must be adept at not only solving problems but maintaining composure when doing so.
  • Interpersonal skills: The ability to establish and maintain relationships with clients, the campus community, and vendors.

Knowledge, Skills & Abilities:

  • Superior event management skills, managing multiple events concurrently
  • Ability to create event plans, proposals, schedules, monitor the progress of each event, managing event teams and contingent labor to deliver the highest quality event
  • Demonstrated experience with financial management of complex event budgets requiring excellent analytical skills
  • Extreme attention to detail and deadlines with the ability to prioritize and manage complex workflows delivering on or before deadline.
  • Excellent time management, customer service and organizational skills
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness
  • Demonstrated high level of confidence in making strategic decisions, good judgement, and innovative and creative problem-solving skills.
  • Fosters a positive, enthusiastic attitude for service staff that is customer focused.  Actively seeks client’s opinions about food and service.  Work closely with clients to understand what they actually want in the event. Acts promptly and in a helpful manner when dealing with customer questions or concerns, including responding to both written and verbal comments in a courteous and professional manner.
  • Conduct a pre and post-event analysis to be able to plan properly and to also be able to improve in different areas
  • Responsible for assigning duties to other members of staff where and when it is necessary
  • Maintain good relationship with various vendors involved in the event, as well as with venue owners
  • Create contingency plans in case of unforeseen scenarios or mishaps during the course of an event
  • Coordinate all forms of entertainment for the event, like music and guest speakers, or performers as requested
  • Plan events not to exceed established event budget
  • Suggest suitable venues for an event to the client; in some cases, clients may prefer off-campus locations
  • Supervise activities going on during events; welcome guests and also serve as the “problem-solver” on the day
  • Ensure events are well publicized if the client requires it.
