Overview

The Administrative Assistant supports the academic efforts of the School of Nursing faculty. The successful candidate is expected to be proficient in Microsoft Office applications (Word, Excel, and PowerPoint).

Manages and maintains day-to-day administrative support operations of the department. Assists SON Director in all administrative matters and performs support tasks for department faculty in support of teaching, service and scholarship.

Responsibilities

1. Represents the department by greeting students and visitors, requesting department information or services, directing inquiries to appropriate personnel daily.

 

2. Fulfills requests from faculty to university service departments (Information Technology (IT), Purchasing, Finance & Accounting, Human Resources (HR), Facilities, etc.)

 

3. Assists faculty in preparation and delivery of e-mails, announcements, and other correspondence to students, administration, and staff.

 

4. Take department meeting minutes.

 

5. Arranges logistics for department meetings, projects and curriculum events through EMS

 

6. Files, photocopies, distributes mail and scans paperwork as needed.

 

7. Ensures that all administrative forms and documents are current and correct and conform to policy.

 

8. Communicate with accommodated students their exam schedule and proctor their exams/assessments.

 

9. Support for the Program, College, and University

9.1. Effective participation in Program, College, and University Committees

9.2.Coordination and support of activities of the SON Directors

9.3. Serve as a Liaison when necessary with other campus unites

9.3.1. Office of the Registrar

9.3.2. Student Health

9.3.3. Other Clinical Education Offices

 

10. Actively engages in the advancement of the University

10.1. Builds collaborative partnership opportunities across and among various entities participating in networking opportunities, [internal and external partners, other colleges and universities, hospitals, local organizations, societies, etc.] promoting relationships with the University.

10.2. Promotes and represents the University at local, state, and national events (attending and participating in conferences, serving as a speaker/presenter, networking with colleagues to foster program development, participating in various community opportunities, etc.)

 

11. Contributes to team efforts by performing other duties as needed/assigned.

Qualifications

Education

  • High school diploma or equivalent certification or job related experience demonstrating the knowledge, skills, and duties required of the position.

Experience

  • Related experience in higher education, medical offices, or hospital administration is preferred.  Experience with developing, managing, and updating contact management platforms and functional databases also preferred.

Skills & Abilities

  • Excellent verbal and written communication and interpersonal skills and ability to work with diverse populations and personalities.
  • Ability to effectively comprehend and respond to faculty and student requests in a prompt and professional manner.
  • Strong problem solving and organizational skills including, managing multiple assignments, prioritizing tasks, setting deadlines, and initiating and completing projects on schedule without close supervision.
  • Possesses the ability and willingness to become proficient in other computer applications required for position.
