Overview

Touro University Nevada is seeking a full-time Coordinator for Records and Registration to work collaboratively with the Division of Student Affairs staff to ensure the smooth and efficient operation of the Office of the Registrar. A successful candidate for the Coordinator for Records and Registration position must demonstrate an ability to perform and thrive both independently and in a team environment. This position requires conceptual, analytical, and organizational skills and the candidate must be detail-oriented and able to multi-task.  The Coordinator for Records and Registration should have experience with and enthusiasm about working with individuals from diverse backgrounds.  The candidate must also demonstrate the University’s core values of intellectual pursuit and service to humanity through their work.

Responsibilities

1. Maintain and update academic records of all students and alumni.

1.1. Maintain and update student transcripts and grade reports.

1.2. Assist with processing of official transcript requests.

1.3. Certify student enrollment, student eligibility for local, state, and national examinations, and degree verification requests in a timely fashion.

1.4. Completes state licensing forms for graduates and processes student/alumni verifications.

1.5. Respond to inquiries regarding academic records and process transcript requests in a timely fashion.

1.6. Assist with management of student registration for the university.

1.7. Image/Scan student records into electronic student files.

 

2. Inform students of the graduation process and conduct audits of every student’s academic file to ensure graduations requirements have been achieved.

2.1. Produce and maintain information reports on graduating students and alumn Assist with conferring students degrees by providing needed information to the Associate Registrar and Registrar for final conferral.

2.2. Encourage the use of DegreeWorks to efficiently advise students, monitor degree plans, and to determine graduation status.

2.3. Assist with ordering and mailing of diplomas. 

 

3. Maintain collaborative, productive, and collegial relationships with campus departments and personnel. 

3.1. Participate in student events such as, but not limited to, orientation, white coat ceremony, commencement, etc. 

3.2. Participate in University and Division of Student Affairs committees.

3.3. Assist with university events as needed which include occasional evening and weekend commitments.

 

4. Provide Registrar and Associate Registrar with timely and accurate documentation, information, and status reports on a regular basis.

4.1. Administer admission audits for newly enrolled students and submit findings to Associate Registrar. Create audit reports as requested.

4.2. Assist with F.R.P.A. training for faculty, staff, and students.

4.3. Provide front-line service to students, faculty, and staff.

4.4. Day-to-day clerical work as needed within the Office of the Registrar.

4.5. Uphold policies and procedures in the university catalog and program handbooks.

4.6. Building and scheduling of couurses. Processing of changes of status (dismissal, suspension, leave of absence, withdrawal, etc.) for students. Registering students for their coursework. Processing grade changes.

4.7. Assist with creating reports for academic programs and other University Offices as directed.

4.8. Assist with front desk duties as requested.

4.9. Other duties as assigned.

 

5. Provide administrative support to the Registrar.

Qualifications

Education

  • Bachelor’s degree preferred.

Experience

  • One year of higher education full-time employment experience preferred.
  • Experience working in an Office of the Registrar preferred.
  • Proficient with various computer applications and programs

  • Knowledge of Student Information Systems (Banner, PeopleSoft, Jenzabar, etc.) preferred.

  • Knowledge of DegreeWorks preferred.

Skills & Abilities

  • Experience and enthusiasm in working with a diverse student, staff, and faculty population from a growing university setting.
  • Show a capacity to support and celebrate students from a variety of identities (race, ethnicity, religion, sexual orientation, gender, sex, age, etc.).
  • Working knowledge of F.E.R.P.A.
  • Ability to implement successful practices in academic recordkeeping.
  • Excellent oral and written communication skills.
  • High level of conceptual, analytical, and organizational skills; must be detail-oriented.
  • Innovative and solution-oriented.
  • Public-speaking presentation skills preferred.
