Touro University Nevada is seeking a full-time Associate Registrar to work collaboratively with the Division of Student Affairs staff to ensure the smooth and efficient operation of the Office of the Registrar. The Associate Registrar provides a welcoming and inclusive environment to students, faculty and staff seeking support from the Office of the Registrar concerning student records and other student-related information in accordance with federal, state, local, and university regulations and procedures. Reporting to the Registrar, the Associate Registrar provides supervision for Enrollment Counselors and assist with leadership for the successful planning of resources, processes, and technologies that impact student enrollment and academic progress. The Associate Registrar must possess strong organizational and interpersonal skills, be detail oriented, self-motivated, capable of handling complex projects, and the ability to work independently. The Associate Registrar will step in and serve in the Registrar role in the Registrar’s absence (and as directed by the Dean of Students). Other necessary skills include a high level of comfort working with technology, the ability to handle confidential and sensitive data, excellent student services skills, and effective verbal and written communication skills.

1. Supervise, train, and evaluate Enrollment Counselors and student workers.
1.1. Evaluate office effectiveness of both automated and manual processes.
1.2. Assist with TouroOne Portal and F.E.R.P.A. training for faculty, staff, and students.
1.3. Provide front-line service to students, faculty, and staff.
1.4. Day-to-day clerical work as needed within the Office of the Registrar.
2. Maintain collaborative, productive, and collegial relationships with campus departments and personnel.
2.1. Communicate accurate academic information to students, faculty, deans, directors and department chairpersons.
2.2. Work closely with academic departments to ensure processes and systems are maintained, updated, and upgraded as necessary.
2.3. Provide simple to complex reports to internal departments, organizations, and agencies.
2.4. Work closely with the Department of Information Technology to ensure that student, staff, and faculty accounts are accurate on TUNfo, Blackboard and Canvas, and other university technologies.
2.5 Administer admission audits for newly enrolled students and submit findings to Registrar, Director of Admissions, and Dean of Students.
3. Work closely with the Registrar to recommend academic policy development and revision for the university catalog.
3.1. Provide Registrar with timely and accurate documentation, information, and status reports on a regular basis.
3.2. Work with the Touro College and University System to implement policies and procedures for the Office of the Registrar.
3.3. Contribute to the development of the academic calendar.
3.4. Uphold policies and procedures in the university catalog and program handbooks.
4. Assist student veterans/dependents with determining eligibility and applying for educational benefits and entitlements in accordance with federal and state laws, including the awarding of Yellow Ribbon Scholarships.
4.1. Plan and execute annual Veteran’s Day program.
4.2. Work with Director of Student Involvement to incorporate military commissioning ceremony into Spring Commencement ceremony.
5. Oversee record maintenance functions for all Office of the Registrar files, including imaged and archived files.
5.1. Maintain and update academic records of all students and alumni.
5.2. Maintain and update student transcripts and grade reports.
5.3. Responsible for monthly enrollment submission to the National Student Clearinghouse and ensure that enrollment information is reported accurately to the National Student Loan Data Systems.
6. Ensure that inquiries regarding academic records and transcript requests are processed in a timely fashion.
6.1. Ensure that certifications of student enrollment, student eligibility for local, state, and national examinations, and degree verification requests are processed in a timely fashion.
6.2. Update external Osteopathic Medical sites such as the NBOME, NBME and AOA.
7. Oversee the DegreeWorks degree audit system, including, maintaining, and updating program/curriculum requirements using the DegreeWorks scribe programming language to ensure graduation requirements have been achieved.
7.1. Produce and maintain information reports on graduating students and alumni.
7.2. Responsible for ordering and mailing of diplomas.
7.3. Responsible for student name submission for commencement and white coat ceremonies.
8. Participate and assist in student events such as, but not limited to, orientation, white coat ceremony, commencement, etc.
8.1. Participate in university committee work.
9. Planning, development, and implementation of procedures used in the registration and graduation process.
9.1. Building and scheduling of courses.
9.2. Responsible for the management of student registration.
9.3. Assists in developing and implementing short and long-range plans, conceptual designs, and documentation for assigned area(s).
10. Other duties as assigned by Registrar and oversees the office in their absence.
